Privacy policy

This policy covers this website and our own business contacts. It does not cover data held inside an event's ShowPilot portal or app.

If you are an attendee, exhibitor, speaker or member of an exhibitor's team at an event that runs on ShowPilot, the organiser of that event decides how your data is used. They are the controller of it; we process it only on their written instructions. The notice that applies to you is published by that event — look for the privacy link inside the portal or app you were invited to, or ask the organiser directly. Nothing on this page replaces or overrides it.

Who we are

ShowPilot FZ-LLC (licence 47029552), Compass Building, Al Shohada Road, Al Hamra Industrial Zone-FZ, Ras Al Khaimah, United Arab Emirates, is the controller for the processing described here.

We are established in the United Arab Emirates, and the UAE Federal Personal Data Protection Law applies to us. Where you contact us from the United Kingdom or the European Union, we apply the standards of the UK GDPR and GDPR to the handling described in this policy.

What we collect

When you visit this site. Our hosting provider records ordinary server logs — IP address, the page requested, the time, and the browser user agent — so the site stays available and abuse can be identified. We do not use them to build any picture of you.

Cookies and analytics. We use Google Analytics to see how this site is used — which pages get read, roughly where visitors arrive from, and whether anything is broken. It is off until you say otherwise. You are asked on your first visit, nothing is stored on your device for analytics unless you accept, and you can change your answer whenever you like from the cookie preferences link in the footer. Withdrawing consent also clears the cookies that were set.

If you decline, Google still receives an anonymous signal that a page was viewed. It carries no cookie and nothing that can be tied to you, to your device, or to a return visit. We tell you this rather than implying that declining makes us invisible to Google, because it does not.

There is no advertising technology here at all. No ad pixels, no remarketing, no Google Signals, no social media trackers, and nothing embedded from another site. The typeface is served from this domain rather than fetched from a third party. Besides Google Analytics, the only cookie this site sets is the one remembering the answer you gave to the question above.

When you contact us. We receive whatever your message contains — typically your name, your email address, your employer, and whatever you chose to tell us.

Commercial and billing contacts. For customers and prospective customers we hold business contact details — name, role, work email, telephone — together with our correspondence and contract records.

Why we hold it, and on what basis

• Server logs — to keep this site secure, available and working. Our legitimate interest in operating our own website.
• Analytics — to understand how this site is used, and to improve it. Your consent, given through the cookie banner, which you can withdraw at any time.
• Your correspondence — to answer you. Our legitimate interest in responding to people who contact us, or, where you are asking about buying ShowPilot, because it is a step taken at your request before entering a contract.
• Customer and billing contacts — to provide, administer and invoice our services. Performance of a contract, and compliance with accounting and tax obligations.

We do not sell personal data, we do not use it for automated decision-making, and we do not build advertising profiles of anyone. The analytics above are read in aggregate, to understand the site — not to identify you, follow you elsewhere, or target you.

Who we share it with

Two providers, each acting on our instructions under a written data-processing agreement:

• Vercel — hosting for this website, and the server logs described above. Served from the London region.
• Google — Google Workspace provides the mailbox behind our support address, and Google Analytics provides the measurement described above, where you have consented to it.

Beyond those, we disclose personal data only where the law requires it of us.

We do not pass anything you send us here to event organisers. Data you send to this address is separate from any event portal.

Where it is processed

We are established in the United Arab Emirates. This website is hosted in London, United Kingdom. Google Workspace and Google Analytics both operate globally, including in the United States.

There is no UAE adequacy list and no official UAE standard contractual clauses. Each provider is bound by a written data-processing agreement covering the transfer. For hosting and correspondence those transfers are made because they are necessary for us to run this website and to reply to you. For analytics the transfer rests on your consent, which is why you are asked before any of it happens and why declining is a real option rather than a formality.

How long we keep it

• Enquiry and support correspondence — 24 months from our last contact with you, then deleted.
• Customer contract and billing records — for as long as the contract is in force, and afterwards for as long as accounting and tax rules require us to keep them.
• Analytics — 14 months from your visit, after which Google deletes it. Withdrawing consent stops any further collection immediately and clears the cookies from your device.
• Server logs — held by our hosting provider for a limited period for security and reliability, and used for nothing else.

Your rights

You can ask us to give you a copy of the personal data we hold about you, correct it if it is wrong, delete it, restrict what we do with it, or object to us holding it. Where we rely on your consent you can withdraw it at any time. Email support@theshowpilot.com and we will respond within one month.

If your request is about an event portal or app, send it to the event organiser instead. We hold that data as a processor and cannot act on it without their instruction. If you contact us anyway we will tell you so, and point you towards the organiser where we can.

If you are not satisfied with how we have handled a request, you can complain to your data protection regulator — the UAE Data Office, the Information Commissioner's Office in the United Kingdom, or your national supervisory authority in the European Union.

Children

This site is aimed at exhibition organisers and is not directed at children. We do not knowingly collect personal data from anyone under 18 through it.

Changes to this policy

The version number and effective date are shown at the foot of this page. If we change anything material we will publish a new version and update that date.
